E-Hall Pass Notification and Information

Starting in 2nd Quarter, West Springfield High School will have the opportunity to pilot the E-Hall Pass for all of our students. Learning from other high schools in Fairfax County, we have customized the application to meet the unique needs of our WSHS community. This cloud-based digital hall pass system will allow for greater information on how many students are in the hallways during the school day, support teachers and students in the classroom during essential instruction, and create a safe environment for all. The purpose of this communication is to provide additional information about e-Hallpass at West Springfield and for students and families to learn more about the system before it is implemented.

What is e-Hallpass?

E-Hall pass is an online digital hall pass system that allows West Springfield High School staff to issue hall passes to students that is similar to a sign-out sheet when students need to leave a classroom. 

Students are able to access e-Hall pass through their school-issued device using any web browser. Using their Google log-in, students may request a pass to leave the classroom or request an appointment with a staff member (counselor, administrator, clinic team, etc.).  Passes are able to be issued with limited impact on the instruction of the classroom. 

While students are out of the classroom, the pass system monitors how long they are gone so that teachers can focus on the remaining students in the classroom. Our administrative team and security staff are able to monitor active hall passes building-wide to ensure we are able to provide effective supervision in appropriate areas. 

Why an electronic hall pass system?

West Springfield High School staff had the opportunity to see e-Hallpass in action and to talk amongst their departments as well as other staff about the system. Based on information from those experiences, we believe that e-Hallpass has the potential to reduce classroom disruption by allowing students to digitally create passes; enhance accountability for student whereabouts; and allow for the management of “appointment passes” for students to leave class to take part in enrichment and reteaching during our Learning Seminar (LS), or advisory, period.

 

Frequently Asked Questions  

Does a student need to use their personal cell phone or personal device to obtain a pass out of class?

No, students will be encouraged to use their student laptops or have teachers create the pass for them.

Can a teacher still create a pass for a student if a student does not have a web-connected device available?

Yes, teachers and staff members can create Teacher Passes for students in only a few seconds from the e-Hallpass teacher dashboard.

Does e-Hallpass track a student’s location using cell phone location services?

No, e-Hallpass does not use location services at all and school-issued devices are the primary device for e-Hallpass. 

Is a student required to carry a device on them in the hallway or bathroom?

No, a student does not need to carry a device with them in the hallway or in the bathroom for round trip passes. Students would be able to carry their device if it is a one-way pass to another staff member if they are not returning to the classroom

What personal information does e-Hallpass use in the application?

E-Hallpass uses students' first and last names, grades, student profile pictures, and FCPS Google email addresses (due to login with Google).  Their Privacy and Security Policy can be found at: https://www.eduspiresolutions.org/privacy-policy/. Data on student hall pass usage is stored on a short-term basis and e-Hallpass has committed to never implementing targeted advertising tracking platforms. E-Hallpass has also signed a Data Protection Agreement (DPA) to cover the school’s FERPA responsibility as the data stored about students on this website meets the FERPA definition for Personally Identifiable Information (PII). 

How does a digital hall pass system enhance security?

A digital hall pass system allows a school to know how many students are in the hallway at any given time and identifies each student on a pass. Whether in a real emergency or a practice drill situation, this information allows for greater awareness and security across the entire school campus.

When will e-Hallpass be implemented at West Springfield High School? 

We would like to implement e-Hallpass at the start of 2nd Quarter, in November 2022. Until then, students will continue to use paper passes.
